Executive Assistant/Office Manager

Rosti is a global plastics injection moulding company and subcontract manufacturer to some of the world’s leading manufacturers in the packaging, consumer appliances, business machines and medical sectors. Today we have production facilities in Sweden, Germany, Poland, Romania, UK, Turkey, China and Malaysia. The group employs some 3,500 co-workers, and our head office is situated in Malmö, Sweden. Rosti is owned by Nordstjernan, a Swedish family-controlled investment company with headquarters in Stockholm, Sweden.

 

The position

In the role as Executive Assistant you support to the CEO and the Executive Management Team (EMT) and are also Office Manager for the Malmö office.

In addition, you will also perform similar responsibilities as an administrative assistant, involving communications, correspondence, arrange travel, liaise with internal and external key stakeholders as well as represent the company and also secure office management  You will participate in Executive Management Team meetings as well as Operational Performance Reviews and keeping minutes and following up on actions.

The role is based out of Rosti’s global Head Office in Malmö and you will be reporting to the CEO.

 

Key responsibilities

  • Manage and maintain the calendar of the CEO for Rosti Group and the yearly calendar for Executive Management Team
  • Responsible for Executive Management Team’s travel and expenses
  • Rosti EMT support, liaison, meeting preparation, presentation pack, minutes and follow up
  • Plan, create and coordinate various executive management events, such as management conferences
  • Partner with HR to maintain various office policies, administrate onboarding of new colleagues ordering new equipment
  • Manage relationships with vendors, service providers, office lease and landlord – contract and price negotiations
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled.

You are also expected to pick up various administrative tasks and projects as required.

 

Your qualifications

Previous experience from working with senior managers at international group level is critical, together with the ability to create trust and good relations with all the employees at the office.

You will also need to have strong organization and communication skills. The EA must be well organized and able to handle a wide range of tasks simultaneously.

An office manager has to be goal oriented and be able to independently run projects and take initiatives. You must also be flexible and interested in solving both small and big tasks.

You will also need an excellent command of English, both written and verbal.

 

Knowledge/experience

  • 5-10 years of experience from a similar role in an international environment
  • Education in business administration or equivalent knowledge acquired elsewhere
  • Previous experience of working with administration in an international environment
  • Successful track record of managing a multitude of tasks in a similar organisation.
